Coach Resources: Your Guide to the Upcoming Season!

Dear Coaches —

We hope that you are excited about starting practices this week.

A few updates and guidance. Please read through the email below carefully.

Practices are still on today, but please give more breaks. As a Region, we monitor the weather, including the heat, using official AYSO guidelines. There may be times where we have to cancel practices or games due to excessive heat, and we will let everyone know if that happens.

Right now, we are at a heightened heat level where there is a higher risk for heat-related illnesses than normal. The guidance is to try and limit physical activity to an hour (if your practice is scheduled for 1.5 hours, just try and limit the physical activity part), and give at least four 4-minute rest/water breaks during that hour.

Player safety is first! If any parents are uncomfortable with their children attending practices for any reason, including heat-related reasons, they do not need to come.

You are only allowed to practice at the location and on the days/times that have been confirmed by your Program Manager; and can only play games as they are calendared on MatchTrak. Any other activities are considered unsanctioned and not allowed; and AYSO insurance may not apply to protect you as a coach or the players if they are injured.

Compliance

Any coaches that have not yet finished all of your trainings or compliance programs cannot participate in any team events until you do, including practices or games. Head Coaches: if you have an assistant coach not in full compliance, they cannot help at practices or games unless/until they get in full compliance.

No individuals not on the roster should be helping with practices.

Injuries

If there are any significant injuries during practices or games during the season, please work with the family to make sure the player gets the appropriate medical assistance, and also notify our Safety Coordinator, Ken Ichinose, at [email protected] for next steps.

What to Have at All Practices

  • Player Medical Release Forms (which your Program Managers should have sent out)
  • Permits (See Below)
  • Contact Info for All Players

If there are significant field issues, please let your Program Manager know; do not reach out to the City directly. If you cannot get ahold of your PM, please reach out to the Region’s Coach Admin, Mike DeAnda, at [email protected], or to the Regional Commissioner at [email protected].

Attached is a summary of the field permits for all of your fields. Please keep a copy of these permits with you at all practices.

REMINDERS FROM CITY REGARDING PERMITS

A quick reminder: the city only issues permits to one organization per field. So, for example, if a park has both a soccer and a baseball field, AYSO is the sole permit holder.

At the start of the season, it's not uncommon for other organizations to try to use the fields we've reserved, especially those with lights. If this happens, please talk to them and politely let them know you have the permits. If the field is large enough and their presence doesn't interfere with AYSO practice, you might suggest they move to an unused area. If the situation doesn’t resolve, feel free to contact the OCSD Non-Emergency line for assistance.

Below are a few helpful tips from the city for this season:

  • Emergency Issues: For any emergency maintenance, restroom, or lighting issues while on the field, contact Public Services after hours at 949-472-1666.
  • Field Conflicts: If non-permitted groups refuse to leave, contact the OCSD Non-Emergency Line at 949-770-6011. (Phone tree navigation: Press 1 for English, 2 for Spanish; Press 9 for Dispatch; Press 1 to confirm Dispatch.)
